Invoicing Features

I have a small nursury business, and previously used a program called Peach Tree. The basic functions I initially need to figure out is
1) input costomers
2) input invoices for customers
3) apply payments to invoices
4) print statements

  1. Hi William,

Thank you for the email. You can use Easy Books to do this. I'll try to run through your 1 to 4, if I miss something please just let me know.

    1. You create customers as accounts in Easy Books. Create an account and set the category to Customer. If you every stop trading with the customer, you don't delete the account, instead you set the account inactive.

    2. For sales invoices, there is a button in Easy Books. Tap on this and you can create a new sale. This just means you're creating a transaction between the customer account and your income account (Fees Income, but you can add as many more as you like). Easy Books will create an invoice number for you, but you can change it and the next time, it will try to guess at the next number for you. Set the amount, date and add a description that you want to appear on the invoice. If you want to add more item lines, you can add a split using the + button on the sale screen.

    3. To apply the customer payment to an invoice you have a few options. If the customer pays a single invoice in full, I usually go back to the original sale in Easy Books and use the option Receive Payment. This creates a new transaction between your bank account and the customer account, and fills in the amount in full. If the customer pays part of an invoice you will enter a transaction manually instead, just picking the customer account and the bank account. If you like, you can still make Easy Books show the sale as paid (which shows as a tick next to the list of sales). This is just cosmetic, but if you want to keep a long list of ticked sales, just go into the sale, and use the option Mark as paid.

    4. You can send customers statements from the app by email (or you can share them to iTunes or print them). Use the Statements button to show the list of accounts that you could create a statement for, then tap on your customer. Adding a statement is easy - just use the + button. Then set the date and any reference number you want (optional). Add any items to the statement, and note Easy Books will only show you the lines that do not already appear on a statement.

You can run the Customer Aged Debt report to give you an idea about how well (on time) your customers are paying you. If find this useful if you have a few customers that you need to keep track of, and you always have some debt amount to keep track of. Easy Books assumes each payment received pays off the earliest invoice, and calculates the amounts overdue into bands (0-15 days, 16-30 etc).

I hope that helps, please let me know how you get on.

    Mathew

  8. It should always be able to save accounts, even if you have used up the 120 transactions.

To add a new customer account, tap on the Customers icon. You might just see a list showing "Customer A" and "Customer B". Or you might not see any customer accounts listed. It depends on which template you picked for your business. To add a new one, tap the + button at the top. You are then able to set the name, opening balance and so on.

  17. I am still having trouble w/ receiving payment. You wrote to me saying, to go back to the original sale and use the option "Receive Payment" , the problem is there is no option to "Receive payment" that I can find under the original sale.

  18. Hey Mathew,
Thank you for your support so far, please bare w me. As you can probably tell I'm a little confused. I found the " receive payment" option on the bottom of the original sale. The problem I am having is that my previous program is having technical problems, and I'm still trying to close out the month of May. Payments are still coming in for previous months, and I want to complete these previous months, with the old program, and start fresh w June and work forward, and as old payments come in, I have to enter them in the old program. I very much still want to sign up w the sync. For data back up, its just that won't start adding info. Until I close out the other program. Please let me know if this is ok and if there is anything I need to do or know in the mean time.
    Sincerely, B.J. Whalen

  19. Fine by me, take all the time you need. When you're ready to start sync, let me know and I'll make sure your old account is ready to go again (if it expired)
    All the best,
    Mathew
