iOS 8 iPhone: Moving an invoice from one account to another

Hi , I have 2 accounts running, if I put one invoice in one say invoice numb 6 then a few weeks down the line realise it should be in the other account, can I move it or do I need to delete and then put it in the other account manually? And what happens to that invoice numb 6 ? Will it go 2-3-4-5-7, and 6 permanently missing or will it reallocate to the next job invoice?

    Hi Ian,

    That's a great question, I'm sure it will help other people so I'll make this public if you don't mind.

    When you say account I assume you mean business, I use the term "account" to refer to the individual account such as a Bank Account, a Customer account, income and expense accounts and so on.

    Invoice numbering in Easy Books works from the invoice with the most recent date. This is used by the app as a template for your invoice numbering format. Easy Books tries to find a sequence of digits and tries to keep to the same number of digits too, so for example "00001" should produce "00002" as the next invoice number while "999" will need to spill into a new range giving "1000". Where more than one sequence of digits exist, the app chooses the right-most set as the one to increment, for example "GS4321-001" will produce the next invoice "GS4321-002".

    If you delete the most recent invoice and add a new one, it will generate the same invoice number as before. So in your example, yes the app will generate number 6 again, but of course you can manually edit it if you need to. If you set it to 7 the app will then resume numbering from 8 next time.

    The app will avoid using a duplicate invoice number, it checks to make sure. If the most recently dated invoice has a number that is earlier in the sequence (in other words there are invoice numbers that have already been used, but they are dated earlier) the behaviour of the app will change in the next update. Currently the app just finds the next spare invoice number but the behaviour is to change so that the app always tries to find the highest invoice number.

    Hi Mathew thanks for reply, i get it now, however if i manually delete the transaction say inv 1, then put a new sale in with new details i change the invoice easy books has generated manually as you said , say from 12 to 1 it enters ok. The problem is if i go into customers the original customer is there now showing a debit balance, do i have to manually delete this customer? And will this not effect the account balances at all? Other than deleting the amount i have taken out obviously..

    Go to the customer account and you'll see all the transactions that are affecting the balance. Perhaps you've got a payment received in there or something?
